OPSEU Local 354 is the faculty union at Durham College in Oshawa,Ontario. We proudly
represent counsellors, instructors, librarians and professors. Our union office has an immediate
opening for an Office Administrator. This is a part-time contract position running from Oct.1st to
June 30th for a one-year term, with a possibility of extension. The Office Administrator position
will work 3-4 days at the Oshawa campus with possible options for remote work.


Candidates should have extensive knowledge and experience in general office work and
procedures. General office management, effective communications, and initiative-taking skills
need to be prioritized in a fast-paced setting. The position is suited to someone who enjoys and
effectively tracks multiple projects. The successful candidate is also able to work with multiple
peoples’ schedules, does not miss deadlines, and is able to track and sort wide ranges of
information. Data entry, record keeping, database manipulation, and other routine information
management skills are necessary. A basic understanding of social justice, public higher
education, and working in a labour setting is helpful. Knowledge of social media platforms and a
willingness to create and maintain regular posts is useful.


Professionalism in all aspects of the role is critical. The Office Administrator oversees most
administrative aspects of our union office and is often a first point of contact whether with
faculty members or other stakeholders within the broader union or college setting.
Essential Skills:
● Proficiency with Microsoft Office including Word, Excel and Outlook;
● Willing to take direction on general office approach
● Familiarity with web conferencing tools such as Teams, Zoom and Google Meet;
● Familiarity with effective use of social media. Able to create and update relevant and
timely content, on a regular basis;
● Strong English communication skills (written and oral) and a proficiency in spelling and
grammar;
● Ability to multi-task while independently organizing and determining work schedule
priorities to meet strict deadlines, with multiple and competing priorities;
● Ability to handle quick turnarounds and timelines;
● Excellent organizational and analytical skills, with keen attention to detail;
● Ability to maintain confidentiality; and
● Demonstrated ability to work cooperatively with others; as well as a strong ability to
work independently with little direction.


Job Overview:
● Providing administrative support to the executive officers of the local union in various
areas including mail correspondence (e-mail and hard copy), document processing, note
taking, calendar management, proofreading, organizing meetings and social events,
research of relevant documents and files;
● Managing the office records management system, both manual and digital;
● Prioritizing workload
● Tracking all incoming and outgoing communications (including grievances, legal work,
etc.) to ensure all deadlines are met;
● Providing receptionist services and redirecting calls appropriately; and
● Other administrative and clerical duties as assigned.
Qualifications:
● A minimum of 5 years of office administration experience; and
● Post-secondary training in office administration (or equivalent work experience);
● Union office experience an asset.
